Volunteer Positions and Teams
Ice Cream Social
- Coordinate the Ice Cream Social in the Fall, a free family socializing event on campus. Supply Ice Cream, toppings, utensils, bowls etc. Create posters to put up around the school advertising the event
- Event(s): Ice Cream Social
- Date(s): September during the Book Fair week
- Skills: Strong arms to scoop ice cream
- Time: 2 weeks out 1-3 hours, week of event 2-3 hours, actual event 4-5 hours
- Volunteers Needed: Preparation for event and event day setup and scoopers
Lost & Found
- Weekly organization and management of the Lost & Found racks on campus. A couple times a year, gathering the clothes and donating them. At the end of the year, hosting the "yard sale" to assist families with finding lost items or reselling abandoned items.
- Date(s): Ongoing hanging shirts, donations 2x year, yard sale at end of year
- Time: Flexible, about 15 minutes a week and more if you bring racks to special events
Home and School Club Auditor
- Twice a year, conduct an audit of the HSC finances to ensure everything is reconciled
- Skills: N/A
- Time: Few hours for each audit
- Meetings/Prep: On your own time
Scholarships HSC Board Member
- Create/manage/promote/research/schedule fundraising events and activities to support Bagby HSC. Many Bagby activities are not funded by the Cambrian District. Proceeds from sponsorship events help support the ongoing activities of the Bagby Home and School Club and ensure all students have opportunity to participate regardless of financial resources.
- Date(s): Throughout the year
- Skills: Energy, enthusiasm and creativity
- Time: Flexible 30 mins-3 hours a month
- Volunteers Needed: Yes need help researching, scheduling events, and follow up with vendors.
Bagby Gear
- Receive gear orders from the HSC website via email and paper. Fulfill orders and place them in teacher mailboxes. Collect the money from the paper order forms and place a deposit with the HSC treasurer.
- Skills: Organized
- Time: 1-4 hours per week September to October. Few special events table sales, which require 2-3 hours. Throughout the year no more than 1 hour per month. One large vendor order per year.
- Meetings/Prep: On your own time/ when office is open for transactions
Movie Night
- Coordinate Bagby Movie Night on 11/8. Book an outdoor movie company, purchase approved movie, market event via fliers, email and etc. Plan and purchase concessions and supplies. Work with facilities at Bagby for event needs (bathrooms, trash, tables etc.). Create sign up genius and coordinate volunteers to help prep, sell concessions and clean up.
- Date: Friday or Thursday before Veterans Day weekend in November, 5:30-8:30 pm approx.
- Skills: Organization (there is a previous vendor list)
- Time : About 8 hours a year
- Meetings/Prep: prior to event and at event
- Volunteers Needed: For two to three hours slots to help coordinator with Movie Night
Birdies for Bagby
- Plan and execute annual golf tournament and fundraiser. Gain sponsorships and coordinate logistics for event.
- Event: Birdies for Bagby Golf Tournament
- Date: Late April Early May
- Skills: Event planning, sponsorships, friendly
- Time: 20 hours a year approx.
- Meetings/Prep: Two hours night weeknights every month
- Volunteers Needed: Looking for sponsors from local business
Holiday Giving Program
- During the holidays, work closely with the front office staff to identify families in need, solicit gift requests, organize gift requests and donations, create a sign-up genius, and organize and wrap gifts for distribution.
- Event: Holiday Giving Program
- Date(s): November and December
- Skills: Good attention to detail
- Time: About 20-30 hours during November/December.
- Meetings/Prep: All on your own time. For wrapping
- Volunteers Needed: Team is established
Book Fair
- Work with a vendor, Bagby admin, and volunteers to coordinate a Book Fair for the school.
- Event: Book Fair
- Date: School week in September
- Skills: organization and planning
- Time: 30-40 hours (this includes pre-planning, set-up, actual hours of the Book Fair, and the reconciliation)
- Volunteers needed: Cashiers, greeters, helpers, set up and take down
- Volunteers Needed: Shadow for 2025-2026 year
Mileage Club
- Guide students in the running program during lunch. Encourage more students to participate.
- Event(s): Mileage Club
- Date(s): Every Wednesday 11:50 am-1:20 pm from mid-September to end of May
- Skills: patience, stand for lunch
- Time: 10 hours a month What is the time load of event (hours a week or during a time period etc.): about 10 hours a month
- Meetings/Prep: Obtain class rosters for grades 1-5, create labels, and sticking them onto each student's Mileage Club card. This can take place at the program lead's home. Prep time takes place right before the event on the field (11:30 approx.). At the end of the month, charms need to be placed in baggies and distributed to teachers to hand out to their students. This takes place at the program lead's home.
- Volunteers Needed: Yes, volunteers are needed during the actual event (on the field every Wednesday at lunch). 7-9 volunteers are needed during the first 2 months of the start of the program as there is much interest in Mileage Club among students and chains need to be handed out to each student after their first lap. As the year goes on, not as many students participate and 3-4 volunteers a week is sufficient.
Room Parent Coordinators
- Support and coach room parents. Solicit teacher surveys at the beginning of the year and share results with room parents. Provide new room parent orientation call, share mass communications with room parents, help make sure staff brunch and appreciation week are set up. Fill in for classes when they do not have room parent coverage for teacher appreciation (decorating door etc.), provide coffee for non teacher staff during this time.

- Time: Most of the work is done at the beginning of the school year and during staff appreciation week. Time commitment is fairly minimal.

- Volunteers Needed: Possible New co-chair
Silent Auctions
- Acquire donations from local businesses (sending out emails, driving to businesses, etc). Organize auction display at event. Upload items and descriptions to GalaBid prior to event.
- Event(s): Halloween Fun Night & Spring Gala Casino Royale
- Date(s): Fall/Spring
- Skills: Obtain Donations, email, organization
- Time: August - October & February - April (to a lesser degree than HFN), with more time needed in the week prior to the event.
- Meetings/Prep: flexible, with most initial work being done over email. The 2 week prior to the events needs extra time to finalize donations and put together an attractive display. Will also need to personally oversee the actual auction at the events.
- Volunteers Needed: Yes small to large roles available
Walk N’ Roll Team
- Team works with the city of San Jose to increase the number of kids who walk, bike, and roll to school. Coordinate/plan events with City of SJ WNR Team - Publicize/get the word out, Help count students/coordinate participation prizes, Participate in district-wide information sharing and bonus you’ll get a free safety vest.
- Event(s): Walk n’ Roll Days, Bike Rodeo, Safety Assemblies
- Date(s): Fall and Spring
- Skills: Have a good time and be interested in bike and pedestrian safety
- Time: 5-10 hours a month depending on event in winter/spring
- Meetings/Prep: Meetings every other month, email coordination and event support

Spring Gala
- Plan and create our spring gala a major community building events for parents
- Event(s): Spring Gala Casino Royale
- Date(s): February or March
- Skills: Event planning, auction, sponsors, decor and more
- Time: Meetings once a month, more closer to the event and then none after
- Meetings/Prep: flexible, with most initial work being done over email leading up to the event. During the event I will need help with set up, running and clean up.
